We are happy to work with event and exhibition agencies and organise transport for their clients. To implement changes quickly and cleanly, we agree at the start who places the order, who approves changes and who is the operational contact at the stand.

If several people pass on information, one master version should show which details are confirmed. A client’s wish is not automatically an approved change. Link change notes to the role with decision-making authority: nobody on site then has to decide on extra costs or additional services without being authorised to do so.

What matters

The ordering company and the invoice recipient are named.
The operational contact at the stand is given with a mobile number.
It is clear who may approve changes to the transport scope.

Plan your transport

Who should confirm a change to the transport order?

A person with decision-making authority at the ordering company – for agency projects, usually the agency’s project lead. Stand contacts provide important information on site but do not automatically approve changes to the scope. We record these roles in the order.

Assigning order references to event transport

If you look after several fairs, brands or stand areas at the same time, a clear reference prevents mix-ups. Assign enquiry, quotation and invoice to the same project or purchase order number and name the ordering company – so purchasing and accounts can find every transport straight away.

Something changes just before the fair – an extra exhibit, an earlier build-up, a new address? We also check short-notice transport requests. It is quickest if you set out the current plan, the specific change and the requested date side by side.
